Automation for a Property Management Firm

Challenge:
A property management company was spending valuable time manually processing solicitor document requests during property sales and purchases. Although the process began with a form on their website, everything from tracking to payment to delivery relied on fragmented manual steps.

Solution:
We mapped the entire workflow—from form submission to document delivery—and identified opportunities to streamline and automate each stage. We rebuilt their process around a lightweight CRM in Airtable, integrating it directly with the company’s existing website forms.

Once a request was submitted, the system logged it in Airtable, automatically triggered background payment processing via Stripe, and created a clear workflow for the team to manage requests. When payment was confirmed, the system notified the team to prepare and release the relevant documentation, maintaining transparency and compliance throughout.
