Sales Process Mapping & Invoicing Automation

Challenge:
A global recruiter with a UK HQ needed a unified invoicing process that worked across US, EU, and UK regions. Manual processes led to inconsistent templates, currency mismatches, and VAT compliance issues.

Solution:
We mapped the full invoicing workflow, from sales team input through to finance, identifying automation opportunities at each stage. We added custom fields in Bullhorn that allowed consultants to easily (and simply) flag the correct invoicing parameters (template, tax position, territory) at the point of deal closure. This ensured the right invoice was automatically generated every time.

To reduce risk and ensure adoption, we rolled out a “human-in-the-loop” approach: finance reviewed draft invoices before automation was extended to full live delivery. The system was securely integrated with Xero, and the team was trained throughout for seamless adoption.
